When working with a citation style that uses footnotes for in-text citations, such as Oxford, Chicago or Turabian (and many others), citing with Smartcite requires an extra step to ensure that your citation is added properly.

Make sure to open SmartCite and select a citation style you want to use before proceeding.

When citing, first create a footnote by navigating to the “References” tab in Word and clicking on the “Insert footnote” button:

Once a footnote has been inserted in-text, navigate to the bottom of the page where the citation will be located, then input it from your library in SmartCite by going to the References tab in SmartCite. When you select the citation, it will be added to the footnote, and an entry will be generated for the bibliography section.

Then simply repeat the process for any subsequent citation you want to add.

Converting a document formatted in EndNote into SmartCite citations is easy with our “convert from EndNote” tool located in SmartCite.

To do this, load your document in Word and click on “options” in SmartCite and “convert from EndNote”

Click there, and your document will begin to convert. Note, depending on this size of your document, this may take several minutes.

Once it completes, your document will be properly formatted for use in SmartCite.

SmartCite for Citekeys allows Papers users to easily insert citations from their libraries into any document, regardless of the word processor being used. With SmartCite for Citekeys, you can work in Word, Pages, LibreOffice, or the Manuscripts App.

Getting Started

First, ensure all entries in your Papers library have citekeys by launching the Papers desktop application. Note, at this time, SmartCite for Citekeys is only available on the Papers desktop application.

You can find a reference’s citekey in the Info Panel of the entry:

If some references are missing citekeys, you can generate them automatically by doing the following:

  1. Open Papers desktop application
  2. Go to Papers SettingsCitations.
  3. Set up your preferred citekey naming convention (typically based on the author’s last name and year of publication).

Once citekeys have been generated, you’re ready to start using SmartCite for Citekeys.

Inserting Citations

Open the word processor of your choice. When you’re ready to insert a citation:

  1. Copy the citekey from your library.
  2. Paste it between two curly brackets in your document.

Important: You must use curly brackets {} — SmartCite for Citekeys will not recognize closed brackets or parentheses.

Example:

This is my example sentence {Warren.2014}

Continue adding citekeys throughout your document using the same format. When you’re ready to format your document and generate a bibliography, add the following on a new line at the end of your document:

{bibliography}

Final example:

This is my example sentence {Warren.2014}

{bibliography}

Save your document.

Formatting the Document

  1. Open the Papers desktop application.
  2. Go to ToolSmartCite for Citekeys.


  3. Select:
    • The document file from your computer.
    • The reference collection (personal or shared library).
    • Your preferred citation style.
  4. Click Save As.

Tip: Save a separate copy of the formatted document instead of overwriting the original.

SmartCite for Citekeys will generate a new, fully formatted version of your document, complete with inline citations and a bibliography.

Please note: To perform the following action you must have already entered in at least one citation with SmartCite. Without any citations in place, you will not be able to edit your style. 

To edit or add a new citation style in SmartCite, head over to the “Options” pane. Once there, you’ll see an option to “Manage Custom Bibliography Styles”

This will then allow you to upload a style that is not currently available in SmartCite. Do a quick search for your format first, as we have over 9,000+ in our database. Or, choose whether to edit the one you need by click on the Create/Edit Styles.

If you create a new style you will be directed to the CSL editor. Once customized, your file will save as .csl file, which you can then upload.

If you are working on a document and need to share it with a colleague who uses EndNote, while you can have your collaborator use a trial license to SmartCite (allows 30-days of access), you can also convert your SmartCite-formatted to a format that can be imported into EndNote.

While SmartCite has a conversion tool for EndNote, EndNote does not offer the same cross-compatibility (with Papers or any other tool). While this workflow is more manual than we would like, it provides a relatively simple way to allow an Endnote user to work with a document created in SmartCite.

Getting Started:

IMPORTANT: It is essential for any references that have been added to the document via SmartCite also exist within the EndNote library for the connection to be made. If you are not sure if this is the case, you should export a list of all references in the existing document as a BIB file and import it to EndNote prior to doing the conversion. BIB is a file format that can be used to import Papers references into EndNote. If you don’t want to transfer your entire Papers library, there’s an easy way you can export just the references used in a given Word document created in SmartCite. 

Exporting Reference List from Papers to EndNote:

  1. Use the “List of active references” tool in SmartCite under the REFERENCES tab. 
  2. Click on that and give your new list a name and using Save To dropdown, choose what library you would like to save the list to (personal/shared).
  3. Next, find the library in app.papersapp.com and select all items in that list (use CTRL + A on Windows or Command + A on Mac to select all items in the list. )
  4. Right-click the selected items to reveal the secondary menu. Choose EXPORT > BIB. 
  5. That will download the BIB file to your desktop to it can be shared and added to Endnote to ensure all references exist in both tools. Your collaborator will be able to add the BIB file to their EndNote library easily.

SmartCite Steps:

With your document with SmartCite open, go to OPTIONS panel. Use this link to download the Papers to Endnote style to your desktop. Download the file using the button in the top right of the screen. 

Go to “Manage Custom Bibliography Styles” and upload the CSL file you just downloaded. You only need to do this step once. 

Before you update the document, we always recommend saving a copy, so you have the original to compare the new formatting with. 

Once uploaded, you can go to the BIBLIOGRAPHY tab and see the new style at the top. Click on it and go to “Update Bibliography” at the bottom.

Save your newly formatted document. 

EndNote Steps: 

Go to the Endnote toolbar in Word and select the “Update Citations and Bibliography” feature.  It looks like this:   

Endnote will now iterate through every inline citation in your document and attempt to match each one with a reference in your Endnote library.  You will see a prompt appear for each reference, where Endnote will show you the matched record.  Review each match and click “Insert” to confirm.  Once yo

You can easily customize inline citations directly in SmartCite. To do so, select the inline citation you want to edit from the document. This will pull up the citation in the SmartCite box, which you can then select the Gear icon or right-click to pull up a menu panel. Select “edit in-line citation”

You can then choose how to customize the citation. 

When you are done editing hit Done > Update Citation and SmartCite will insert the new details.

Navigate to Options in SmartCite.

Once this feature is enabled, bibliographies will be divided by the document’s section breaks. Each section break will have its own incrementing list of citations and bibliography. In Word, go to the Layout tab and insert the section break of your choice.

With a new section started under the original bibliography, you can now create a second one (or more, if you’d like).

While we are working on integrating this feature into our application, you can currently achieve the desired formatting by adding a tilde (~) at the end of the organization’s name.

Example:

  • Instead of entering “World Health Organization” in the “author” field, input “World Health Organization~”.

This simple addition ensures that the organization’s name is correctly formatted in both the Papers application and SmartCite.

To use this feature:

  1. Generate your bibliography using SmartCite.
