Easily import your library from another reference manager into Papers. To begin, launch the Papers web application on the browser of your choice and select select the ” + ” symbol on the upper right hand menu:

From there, you’ll be able to import from several different file types including .pdf, .bib. and .ris:

You can also select where you’d like this content to import, be it to your personal Papers library, or, to any Shared Libraries you may be apart of:

Once you hit “next”, your content will import to the location of your choosing. You’ll see the process on the bottom left of your screen:

Please follow the guide below to import from additional reference managers using the file format for other library file types such as .bib and .ris:

RefWorks

Select the references you would like to export. Select “Export” from the “References” menu. Select BibTeX as Export Format and click on “Export References”. Take the .bib export file and drag it into Papers import it by clicking the “Add+” button in the top bar of the library window and browse to select the BibTeX file.

Bookends

First, go to “Attachments” in the left menu of Bookends. Select any attachment in the list and right-click and select “Show attachment in Finder”. This will open the folder where all of your PDFs are stored. Select all of the physical PDFs from that folder and drag those into the Papers app.  Next, go to “Hits” in the left menu and select the references.  Go to File > Export References (Hits) in the top menu bar and select export type as XML. In the Papers desktop app, click on “Add+” in the top bar of the library window and browse to select the XML file.

Paperpile

Go to Settings > Export to export your complete library to RIS or BibTeX. Drag the metadata file into your Papers library window or use the “Add+” button at top of the library to add select the file from your desktop. If you also store PDFs in Paperpile, you will want to download those PDFs locally or use the Google Drive desktop file manager to view them on your desktop. Select and drag the local PDFs into the app to match the PDFs with the metadata.

SciWheel

Open SciWheel in your browser. Select all the citations in your library by clicking on “All References” in the sidebar, checking the box under “All” to select citations, then selecting “All References” from the drop-down menu. Once selected, click the icon two buttons over that looks like a box with an arrow pointing inside of it. Then select “Export as…” from the drop-down menu. Next, name your file and select the RIS format from the dropdown menu. Select “Download File”. The file will automatically go to your “Downloads” folder. You can drag the RIS file into the Papers library view to import or use the “Add+” button at the top to select the downloaded file from your “Downloads” folder.

Please note:

  • Your folder structure from your old reference manager will not carry over. That data is not included in export files. To keep your library structure, create a new list in Papers by clicking on the cog icon next to “My Papers” and selecting the “Create list” option. Then export the contents of specific folders from your original reference manager using the steps above.

As always, please contact us at Papers Support if you have any further questions!

This article provides instructions on how to import records from the U.S. National Library of Medicine ClinicalTrials.gov into Papers using the report format. This database doesn’t match to any of the current publication types so we will treat it like a website and map the needed ClinicalTrials.gov fields to the citation fields in Papers.

Here is an example of a record from ClinicalTrials.gov using the the NLM citation guidelines:

Cannon R. Rilonacept to improve artery function in patients with atherosclerosis. 2006 Dec 29 [last updated 2012 Apr 25; results first received 2009 Sep 14; cited 2015 Apr 25]. In: ClinicalTrials.gov [Internet]. Bethesda (MD): U.S. National Library of Medicine. 2000 –   . Available from: http://clinicaltrials.gov/show/NCT00417417 ClinicalTrials.gov Identifier: NCT00417417.

First, use ClinicalTrials.gov to locate and select clinical trials using the search interface:

Mark the records you wish to export and click the “Download” button:

On the download screen, select “CSV” for “File Format” and the following data fields: NCT Number, Study Title, Brief Summary, Sponsor, Collaborators, First Posted date:

Open the .CSV file in your spreadsheet software (e.g. Excel, Google Sheets, Numbers) and map the columns to the correct fields in ReadCube. Change:

  • NCT Number -> publication title
  • Study Title -> title
  • Brief Summary -> abstract
  • Sponsor -> contributor
  • Collaborators -> author
  • First Posted -> date

Then, create two new columns with the data as shown below:

  • “access date” = today’s date  (i.e., the date that you saved the ClinicalTrials.gov record)
  • “type” = webpage

Save this spreadsheet as a “.CSV” and open the desktop version of Papers.

Go to File -> Import -> .CSV, choose the newly saved .CSV, and select the desired destination

The clinical trials will be imported as new website references in Papers and you can then edit the individual records if you need to add or correct any information.

Helpful Tip: If there are additional data from the ClinicalTrials.gov database that you would like to export, you can map it to any of these Papers fields listed here.

You may also wish to consult this guide to importing and exporting .CSV files with Papers.

To add a metadata-only reference to your Papers library, follow the steps below:

  1. Click the “+” button at the top right of the page.
  2. Next, select “Create Manual Entry…”
  3. Enter any relevant metadata.
  4. Click “Save” and the reference will be added to your Papers library.

In your library, these references will not have the paperclip icon associated with the entry, meaning there is no PDF available for the reference.

To add the full-text PDF to a reference, you can add the file to the attachments tab. If you know the DOI, add it to the metadata and click “Save”. Then select the reference in your library, right-click and choose “Locate PDF.” Papers will search for the full-text PDF and add it to the reference, as long as you have access through a subscription to the journal or it is open-access.

With our latest app refresh comes some exciting new features and new ways to navigate and work with your research. However, we understand that change can be challenging – especially when it comes to an app which is holding all your important data and research.

With that in mind, you are able to toggle back to the classic version of Papers by launching the app on the browser of your choice and navigating to the bottom left corner, where you’ll see the first two letters of your account name:

By clicking “revert to previous version”, you’ll be taken back to the classic version of Papers.

Many services – including other reference managers – offer .ris import and export options.

By importing your .ris file into Papers from an external database, you’ll be able to easily import all the metadata of your references.

In order to import your .ris, Papers offers two different options: you can simply drag and drop your .ris file directly into your library where it will import, or, you can use our import menu option located at the top of our app:

By design, .ris files only contain metadata; there is no way to include PDFs within a .ris file.

However, if you have PDFs that need to be imported as well, no need to worry. Once you’ve imported your .ris file and the metadata of your citations/library has been imported, you can import your PDFs separately and they will match with the metadata present in your library, provided vital metadata information such as DOI and/or a PMID is present.

To import your PDF, you can use the same two options covered above: you can simply drag and drop your PDFs directly into the app, where it will match and merge with the metadata already there, or, you can use the same import menu option that you used to import your .ris file.

You can also manually attach PDFs (or supplements) by navigating to the “Files” section of a selected reference:

With our latest launch of Papers Pro, we have introduced a ton of exciting new features – including our AI Assistant.  If you have questions about these changes and features, please see this list of Frequently Asked Questions and, as always, contact us directly at Papers Support.

Can I revert back to the version of Papers I previously had?
You can toggle back and forth between the new and classic version of Papers by navigating to your user profile on the bottom left of the app and then clicking on “revert to previous version”

You can also revert back to the latest version of Papers by navigating to the Settings of the app, or, clicking the banner at the top of the app window

Where can I see the new Papers user interface?

The latest version of Papers will be available exclusively on our web application, available in the browser of your choice at app.readcube.com. We have also updated all of our product screenshots and videos to reflect the new user interface.

Is my current subscription changing? Will I be charged more?
The names and prices of our subscription tiers are changing.

Our Essentials seat is $65 annually, or $7 monthly, while our Pro seat is $130 annually, or $14 monthly. Users with a valid educational email address are eligible for our Academic discount of 40% off on both plans which can be applied for here. All rates are billed in USD.

Can I purchase Papers Essentials and then upgrade to Pro later?
Absolutely! You can upgrade from Essentials to Pro at any time. You can also trial Pro free for 30-days before you decide.

When do these pricing changes go into effect?
The price changes have been implemented and are now live. All new users will be subject to the updated pricing. Users who were actively subscribed to Papers before the price change will not see a price change reflected on their account until their current subscription is up.

Am I losing access to any features?
No! No features have been removed with this change, but plenty of new features have been added!

Can I trial Papers Pro before I upgrade?

Absolutely! All users are entitled to a free 30-day trial of Papers Pro, even if they’ve used a free trial in the past. You can apply for that trial here.

Do you offer any discounts?

We offer a 40% off discount for all academics with a valid educational email address. This discount applies to both Papers Essentials and Papers Pro and can be applied for here.

I’m not sure about AI, what does the new AI assistant do?

We’re glad you asked! The new AI Assistant is designed to make your research life a bit easier. It has a variety of functionality that will continue to grow over time but right now, you’re able to “chat with a PDF” and ask questions across your library. For more information, please see these two articles:

Introduction to Papers AI
Papers AI Chat with PDF

To ask questions of your entire library, please see this article.

Does Papers AI support multiple languages?
Papers AI Assistant (Chat with PDF) supports other languages – you can speak to the Assistant in a language other than English and, generally, it will respond in that language. Our Library Assistant (Chat with Library – Pro) supports queries in any language but will only respond in English. This may change with future updates and improvements to the tool.

How is my privacy protected with the new AI Features?

We’ve designed our AI Assistant with privacy and security top of mind. When you utilize the AI Assistant none of your prompts or the returned answers are sent back to the large language model (LLM) to train the AI. We wanted to be sure all of your information and privacy is secure, so you have peace of mind.

I have an additional question not addressed here.

If you have any additional questions, please don’t hesitate to reach out to our Support Team who will get back to you as soon as possible. In addition, please see our knowledge base and training center.
